Condition reports and deposits
without arguing from memory

A hall’s condition report has one annoying flaw: it always happens at the wrong time. Friday evening before, Monday morning after, and never in front of everyone who used the premises in between. When damage appears, the discussion is less about the facts than about what each person remembers.

The problem isn’t the damage,
it’s the lack of facts

In a shared facility, several occupants sometimes follow one another on the same day. An association in the morning, a private hire in the afternoon, a maintenance officer at the end of the day. When something is broken or a door has been left open, all you have is a series of statements made in good faith.

This lack of facts costs you twice. First in money: the deposit is rarely withheld, because people don’t feel in a position to do so. Then, and this costs even more, in trust: suspicion sets in between people who live in the same municipality and will have to keep running into each other.

Establishing the facts is not about watching occupants. It is simply about knowing who went in, at what time and for how long. The system records it along the way, without anyone having to write it down.

  • Every entry is recorded with its time stamp
  • On a site equipped with compatible cameras, every entry generates a recording
  • The sequence of occupants over a single day is easy to read
  • The hire fee is collected before access, separately from the deposit

Manager reviewing the occupancy history for a day
On Monday morning, Saturday can be reviewed in order.

What you get
on Monday morning

The exact timeline

Who went in, at what time, until when. The day can be reviewed without having to question anyone.

Images, where they exist

If the site has compatible cameras, every entry produces a time-stamped clip. Disputes are settled by watching, not by arguing.

A calmer conversation

Starting from facts completely changes the tone of the exchange. You no longer ask someone to remember; you show them.

A deposit you dare to withhold

Once the facts are established, withholding it becomes defensible. And more often than not, it becomes unnecessary: knowing that it is possible is enough.

Damage found
on a Monday at 08:00

You look at the day in question

The history lists Saturday’s slots and actual entries, in order, with their times.

You identify the occupant concerned

The slot during which the damage could have happened is worked out from the entry times, without guesswork.

You add the images if there are any

On an equipped site, the recording linked to the entry clears up any remaining doubt.

You apply the agreed rule

Deposit withheld, repairs, a simple warning: the decision follows your hire terms, with evidence to back it up.

Condition reports:
your questions

No. The condition report remains your procedure and your decision. What the platform provides is the information that was missing: who went in, when, and for how long.

No. The time-stamped access history exists in every case. Video linked to access is an extra, available when the site already has compatible cameras, and it is not charged on top.

The hire fee is collected before access. The deposit, on the other hand, remains your rule: its amount, its form and when you ask for it are a matter for your hire terms.

Access events are recorded, and anomalies can be reported to you according to your preferences. That is often what makes it possible to avoid the problem rather than discover it afterwards.

The data is hosted in France and its use is based on a legitimate interest in managing the facility and keeping it secure. Our privacy policy sets out the processing and the retention periods.

The people you give permission to. Dashboard access is set person by person, which keeps the information from going beyond those who need it.
