Managing associations’ slots
and free use of facilities

An association is not a customer like any other, and treating it as one is the surest way to get things wrong. It uses recurring slots, it often pays zero euros, and yet it has to appear in the occupancy figures of a public facility. It is a user group in its own right, and it deserves its own rules.

Free use should not
mean leaving no trace

The most common reflex is to take associations out of the system: since they don’t pay, they don’t get recorded. They are given a key, their slot is noted on a separate schedule, and the matter is considered settled. And two years later, it is impossible to say how many hours the sports hall was actually used.

Yet it is valuable information. It helps justify a grant, decide between two competing requests, show that a facility is useful, or simply give an honest answer at a municipal council meeting. Free use is still use: it has to exist somewhere.

The other way of doing things is to treat free use as a real booking, with a price of zero. The association books, receives its access and uses the slot. The record exists, without a single euro being asked for.

  • A €0 price is still a complete booking, with access and history
  • Recurring slots are set for the season, not every month
  • Each association can have its own conditions and its own permissions
  • Actual use can be viewed and exported, even when it is free

Handling associations
without taking them out of the system

Free use, intended and configured

The price depends on the user group. A local association can be at €0 while a non-resident pays the full price, for the same slot at the same venue.

A season set up in one go

Recurring training sessions and rehearsals are declared once. Sessions falling in the holidays or on bank holidays are suspended without breaking the series.

Access that follows the committee

A new chair or contact person no longer means getting a key back: the right to enter is tied to the time slot.

A record of occupancy

Hours actually used, by association and by facility: enough to support a grant application or decide on a request.

An association season
from September to June

The council allocates the slots

The recurring periods are set for the year, association by association, with each one’s conditions.

Each user group’s price applies

Zero euros for local associations if that is the approved rule, the full price for a club from outside. Nothing to enter at each session.

Each organisation gets in with its own access

The contact person opens up at the time of their slot. No bunch of keys is passed from one association committee to the next.

The summary comes out at the end of the season

Hours used by organisation, by facility and by period. The question “who really uses the sports hall?” finally has an answer.

Associations:
your questions

Yes, it is very common. Prices are set per user group: €0 for local associations if that is your rule. The booking still exists, access is issued and the use is recorded. Free use does not make tracking disappear.

Yes. A preferential rate applies to the user group concerned, without going straight to zero.

Closed days are declared once and suspend the recurring slots that fall on them. A single occurrence can also be cancelled without deleting the year’s series.

Bookings and time-stamped entries make up the history. It can be viewed and exported, so you can document how a facility is used even when no revenue has been collected.

No. No app, no registration: everything goes through the browser, and people get in with the code received by text message and email.

Yes, within the limits you set. Permissions are set per person and per organisation, so you can delegate without losing control of the overall calendar.
