Free room booking software
what it really costs

Let’s say it straight away: ASLOT is not free, and a free shared calendar does what it’s made for very well. The question isn’t which one is best, but where free stops, and whether that stopping point costs you anything.

Comparison between a shared calendar and a complete booking chain

What free tools do well,
and what they don’t do at all

A free shared calendar displays time slots, can be viewed from anywhere and can be shared in two clicks. For an association that simply wants to know who is using the hall on Tuesdays, it’s more than enough, and selling it anything else would be dishonest. Free is the right choice as long as the booking involves neither money nor a key.

The limit appears as soon as there is a sum to collect or a door to open. A free calendar doesn’t collect payment, so it can’t link access to payment: payment goes back to being a separate step, done after the event, with all the reminders that go with it. It doesn’t open anything either, so the key keeps changing hands, with all the appointments and duplicate keys that go with it.

Nor does it know your rate table. At a public facility whose price depends on the user group, someone will have to apply the rule by hand, for every hire, hoping not to get it wrong. This is often where free ends up being expensive.

  • A free calendar works very well when nothing is collected
  • It doesn’t link access to payment, so unpaid bills remain possible
  • It issues no right of entry: the key keeps changing hands
  • It applies no pricing rule by user group: the decision stays with a person

This is where the limit begins: a calendar opens no doors.

The four costs
a free tool leaves with you

Chasing payment

With no link between payment and access, the hall is used first and the money chased afterwards. It’s the task managers end up giving up on.

The appointment for the key

Two appointments per hire, one to hand it over, one to get it back. They don’t appear in any calendar, but they take up plenty of Friday evenings.

Applying the rate table

Resident, non-resident, association: someone has to decide every time. Discrepancies and oversights end up showing in the revenue.

No record

No entry history, so nothing to point to in the event of a dispute. The discussion is settled from memory, and rarely well.

How to choose
without kidding yourself

Is there a charge for the space?

If no money is collected, a free shared calendar is more than enough. No need to go any further.

Does a key change hands?

If getting in means handing over an object and then getting it back, the real cost lies in those appointments, not in the calendar.

Does the price depend on who is booking?

If so, a neutral calendar will leave the decision to a person, hire after hire, endlessly.

Has there already been a dispute?

If the question “who went in on Saturday?” has already come up with no answer, free has reached its limit.

Free or paid:
your questions

No, there is no free version. The subscription starts at €59 excl. VAT per month, all-inclusive and with no commitment, for one space open for booking.

The thirty-minute demo is free and commits you to nothing. We run it on a case close to yours rather than on a generic example, so that you can judge on real evidence.

It can be enough if the hall is lent free of charge and access poses no difficulty. As soon as money is collected or a key changes hands, it shows its limits.

It depends on your volume of hires, and we are wary of ready-made figures. Count your key handover appointments, your reminders and your unpaid hires: we do the calculation with you during the demo.

No. The subscription includes everything: no per-booking fees, no per-user fees, no paid modules. What remains, if you need it, is any missing hardware, quoted separately and announced before any order.

Yes, in fact that’s the most common case. The price then depends on the number of spaces you open for booking.

Let’s do the maths
with your figures, not ours

Your hires, your key handover appointments, your actual unpaid bills. Thirty minutes is enough to find out whether free is costing you anything. And if the answer is no, we’ll tell you.
