What is self-storage software?
Self-storage software is the tool an operator uses to rent out units, keep track of tenants and manage access to the centre. It’s also called storage unit management software, or furniture storage software. It serves first and foremost as a register: which unit is vacant, who occupies which unit, since when, and under what contract.
The simplest tools stop there. They keep the list of tenants and produce invoices. The most complete ones also handle everything that goes on around it: online rental by customers themselves, contract signing, monthly payments, the gate code and site monitoring. They serve the whole team: the agent doing the rounds of the aisles and the person managing from the office work from the same information.
ASLOT belongs to this second group. The same tool serves indoor self-storage centres, container sites on open land and furniture storage, on one site or several.
Questions to ask before choosing storage unit management software
Demos soon start to look alike. To compare two self-storage software packages, the most telling approach is to come with real situations from your centre and see what the tool does with them.
- Can a customer rent on their own at 21:00 on a Sunday? They need to see the vacant units, their size and price, choose theirs and come away with a signed contract. If the rental process ends at a contact form, someone will have to call them back on Monday.
- Can the contract be signed online? A pre-filled contract, signed on screen, with a copy sent by email: no more paper to print or file.
- Can a tenant change unit without starting all over again? A tenant who moves from 4 m² to 8 m², extends, or leaves earlier than planned: the contract, the payment and the code must follow.
- Does everyone on the team have their own access? The on-site agent, the manager, the Monday contractor: everyone should see what concerns them, on their phone or in the office.
- Does access follow the contract? A tenant who has left must no longer be able to get in, and a new one must be able to come the same day.
- Can you follow your sites from wherever you are? Entries, exits, alerts: the team should be able to follow these events from the office as well as on their phone.
- Do your accounts follow without re-keying? With e-invoicing between businesses being rolled out across the board, a compatible tool saves you one more project.
- Who answers when something goes wrong? A gate that rejects a code on a Saturday morning: it happens. Knowing who picks up the phone at that moment matters as much as the feature list.
If the answer is no on any point, ask which other tool takes over, and who links it with the rest. The detail of each point is easier to see in a demo, with the units from your own centre.
One piece of software or several connected tools?
You can run a storage centre with several tools: rental management software, a payment solution, an access controller for the gate. It works, as long as someone makes the link. That person creates the new tenant’s code, changes it when the tenant switches unit, removes it at the end of the contract and lets the on-site agent know.
Making this link by hand takes time every week, and things slip through. A former tenant still getting in six months after leaving. A customer who has changed unit and whose code still only opens the old aisle on a Friday evening. A contractor who keeps their code for months after their assignment has ended.
With a single piece of software, the contract drives everything else and the whole team reads the same record. You also have a single point of contact when a question comes up. Our comparison of booking only and booking with access details both set-ups.
What the dashboard shows you every morning
The first screen answers the questions you ask yourself when you get in: how many units are rented, which ones are coming free, who is moving in today, and whether anything happened overnight.
- Occupancy. By unit size, by aisle, by site. You can see straight away whether the 3 m² units are going faster than the 10 m² ones.
- Move-ins and move-outs. Who is moving in this week, who is handing back their unit, which units need checking before being re-let.
- Entries and exits. Who came, at what time, through which entrance.
- Pending requests. A unit change, an extension, a payment to settle, with the next step already planned.
- Alerts across your sites. Anything that needs the team to take a look, to follow from the office or on your phone. The details are shown in the demo.
This information helps you organise the week: scheduling the agent’s visit before a move-in, adjusting access hours for the summer, putting a refurbished aisle back online. The running a storage centre day to day page goes further into how to organise a site.
On-site operators and managers: each with their own role
In a self-storage centre, two jobs meet. The operator is on the ground: they let in a customer who has forgotten their code, check a unit before a new rental, walk round the aisles in the morning. The manager, in the office or at head office, sets prices and hours, keeps track of contracts and looks at the sites side by side.
Each has their own access to the software, with what concerns them. The operator receives alerts on their phone and gets onto the site with a code valid during their working hours. The manager sees everything, across one or more centres grouped under the same account: each site keeps its own units, sizes, prices and contract. When the operator marks a unit as ready, the manager sees it at once, with no message to pass on.
Contractors have their own access too, limited to their days. When an assignment ends, it stops, and their visits stay in the log. The page on 24/7 access to a self-storage centre covers this in more detail.
How much does self-storage software cost?
At ASLOT, the price follows the size of the centre: €1 excl. VAT per unit per month, with a minimum of €59 excl. VAT per month. A 40-unit centre is therefore on the minimum, €59 excl. VAT. An 80-unit centre pays €80 excl. VAT per month. From 100 units, the price per unit decreases on a sliding scale.
This price includes everything the team uses day to day: online rental, contracts, payments, access, and connected cameras and alarms. There are no modules to add and no higher tier, and every team member has their own access.
Setup is a turnkey flat fee. It includes putting your units online, the standard contract ready to sign, connecting the access points and training your team. The amount depends on your centre and is quoted with you. Everything else is on the pricing page.
